Key points

  • Respond, coordinate and identify who can approve the quotation.

Respond without attempting a remote diagnosis

Acknowledge the report and establish the essentials: whether flow continues, where water is visible, what has been done, any immediate danger and other homes affected. Ask the occupant to keep away from water near electrical installations and not to touch switches. Emergency services take priority where danger is immediate; never ask someone to expose themselves to obtain evidence of the leak (Réparation de fuite d’eau à Paris | TFK).

Closing the water must involve only a clearly identified private valve that can be reached safely. Do not request dismantling or reopening the supply to confirm your theory. Photographs can prepare the conversation but do not prove the cause or age-related deterioration. Agree when you will next update the tenant so that arranging the repair does not leave them without a practical response.

Identify the coordinator and spending authority

Specify who contacts the plumber, receives the quotation and can approve expenditure. If an agent manages the property, check the applicable authority and how extra work is approved. If the tenant is arranging the appointment, confirm what they are authorised to commission. Opening the door does not mean accepting every charge on the landlord’s behalf or approving an expanded assignment without discussion.

In a shared building, notify the syndic where the source or effects might involve common parts or other apartments. Water appearing in your property does not establish that the installation is private. Use the shared first-steps guide to keep roles and expenses distinct, without prematurely attributing responsibility to the tenant, neighbour or co-ownership based only on the visible location.

Arrange access with the tenant’s consent

Agree the time, who will attend and which areas need access. Service Public explains the landlord’s prior notification about the nature and arrangements of works; tenants must allow certain landlord works to be prepared and carried out under the applicable conditions (Le locataire doit-il accorder un droit de visite du logement à son propriétaire ? | Service Public). A practical scheduling exchange should not be treated as replacing any formal notice required for the work concerned.

Even for water damage, holding spare keys does not allow the landlord to enter without the tenant’s permission (Un propriétaire peut-il garder un double des clés du logement de son locataire ? | Service Public). If nobody answers or access is refused, do not force the door or instruct a contractor to do so. Record your attempts and seek the appropriate services or advice for the circumstances. Urgency is not a general permission for unauthorised entry into an occupied home.

Establish the cause before allocating costs

Request precise observations: the affected equipment, whether the source has been established, required repairs and the limits of the assessment. Routine upkeep and minor repairs are generally tenant responsibilities; repairs caused by age-related deterioration fall to the landlord, with other exceptions depending on circumstances (Entretien courant et réparations locatives à la charge du locataire | Service Public ; Entretien et réparations locatives à la charge du locataire ou du propriétaire bailleur). The name of a component alone does not establish why it failed or who should bear the expense.

Avoid promising either to pay everything or to pass every charge to the tenant before reviewing the evidence. Keep separate the person commissioning work, invoice recipient, eventual allocation of repair costs and compensation for resulting damage. Our tenant guide offers a shared reporting workflow without expecting the occupant to diagnose the cause or accept liability before a professional has inspected the installation.

Commission the right assignment and keep records

Repairing a visible leak is not necessarily the same assignment as locating a source behind a wall. Clarify inclusions, proposed checks and the approval needed if circumstances change. Our guide to diagnosis, repair and restoration helps avoid ordering one service while assuming that a different one is included, particularly when the source remains hidden or another apartment may be involved.

TFK’s page describes private leak repair with a written quotation before agreement; specialist investigation using a camera or detector is excluded from that scope (Water leak repair in Paris | TFK). Keep the accepted quotation, additional approvals, invoice and recorded findings. Where professional insurance evidence is relevant, request the appropriate documents rather than assuming decennial cover applies to every visit. Records should show what was authorised and what was actually done.

Coordinate insurance and then restoration

Ask the tenant to contact their insurer where relevant, and contact your own according to your situation. Involve the syndic where necessary. Notification does not automatically decide which insurer compensates: cover, excesses and circumstances matter. Service Public distinguishes urgent leak repair from restoring finishes; painting and repairs to floors and ceilings should await the insurer’s agreement (Assurance dégâts des eaux | Service Public), rather than being bundled into an assumed urgent-repair authorisation.

After repair, make sure the occupant understands what was done and which signs should be reported. A dry-looking surface alone is not proof of a complete repair. Arrange follow-up and then restoration as appropriate to the claim. If obligations or expenses remain disputed, ADIL can advise on the housing issues. Retain a factual timeline rather than replacing evidence with accusations in messages (Entretien et réparations locatives à la charge du locataire ou du propriétaire bailleur).

Frequently asked questions

Can I use my spare key in an emergency?

Not without the tenant’s permission. Official guidance explicitly includes water damage; contact appropriate services where the situation is dangerous .

Can I automatically charge the tenant for a small component?

No. Allocation depends on upkeep, age-related deterioration and the established cause, not simply the component’s size .
