Key points

  • Assign each property a verified decision-maker, backup and access contact, without promising their availability.
  • Separate permission to enter, limits on work and financial commitment; specify a stop if any is missing.
  • Keep a minimal, restricted incident file, with a closure status that preserves technical qualifications.

Create a record for each property and verify its contacts

Assign an internal property identifier linked in a restricted file to the full address, building, floor and door. List the owner or appointing party, authorised manager, backup, local contact and syndic or building contact. Specify each person's actual role: providing a spare, meeting a tradesperson, authorising spending and coordinating common parts are different powers.

Verify contact details and delegated authority when taking on management, then whenever the mandate or contacts change. A name in an address book proves neither availability nor authority. Keep codes and key locations separate from widely shared exchanges; do not put every door and code in the portfolio on a sheet distributed to each contractor.

Use one intake point and fact-based triage

Define an internal reporting point and incident lead so the guest, cleaning team and owner do not independently place orders. When opening a file, record the time, property, symptoms, people present and steps already taken. If people are in immediate danger, have someone call 112 without waiting for commercial approval. Otherwise, protect people and establish the problem before requesting a tradesperson.

For access, distinguish missing instructions, the building entrance and the apartment door; prohibit forced attempts or improvised destructive work. For water, stop the affected use and close only an identified local valve that is safe to reach. Water near electricity means moving away, not crossing a wet area or touching the installation. Backflow at several fixtures or a suspected stack calls for contacting the syndic, without concluding that the source is communal or that it will pay. The syndic, the co-ownership building's managing agent, has duties concerning building preservation and necessary urgent works, not an obligation to pay every reported repair.

Write down delegated powers and stop points

For each mandate, record who may authorise assessment, accept a quote and approve replacement or more invasive work. Define the internal spending limits and exclusions agreed with the appointing party; these are contractual choices, not universal amounts. A spending limit alone does not authorise drilling a lock, opening a wall or working on common parts. Any expanded work needs appropriate agreement on scope and price.

Before a door opening, have access rights and the requester's authority checked; a booking or possession of keys may not suffice. During a stay, coordinate entry with the guest: Airbnb requires their permission for host entry, except in an emergency. This exception does not create blanket authority for work. If evidence, a mandate or agreement is missing, put the relevant work on hold and contact the designated backup. Silence is not consent; immediate danger is a matter for emergency services.

Separate ordering, quotes, invoices and ultimate cost coverage

Prepare a request template: property identifier and necessary address, symptoms, decision-maker, local contact, limited scope, access evidence to verify and restrictions. Confirm call-out conditions before announcing it to the guest. Request a written breakdown of assessment, travel, labour, parts, surcharges, taxes, total and any charges where work cannot proceed. Service Public describes prior quotes for consumers commissioning locksmith, plumbing and unblocking services; for business orders, recommend written terms without automatically applying all consumer rules.

Record the ordering entity, person authorised to accept, invoice recipient, internal reference and immediate payer. Filing an expense under a property does not assign it to the owner or guest. Also separate the payment agreement from any later insurance or platform request: reimbursement, alternative accommodation and payment of repairs are not assured. For water damage, notify the insurer and keep supporting documents; distinguish urgent repair from restoration to coordinate with the insurer, depending on the policy and circumstances.

Keep the file minimal and arrange private handovers

Keep what is needed to handle and substantiate the incident: factual timeline, useful contacts, permissions, accepted quote, report and financial documents. Do not collect all identity documents or private guest conversations by default. For the tradesperson, provide the necessary address, symptoms and access contact; share access secrets only with relevant people through a verified private channel.

Define who can consult the register, who may change contacts and when each category should be deleted or archived according to its purpose and applicable obligations. Remove access that is no longer needed and update compromised secrets under the property lead's instructions. The CNIL sets out purpose limitation, minimisation, retention and security principles; this restricted register is an organisational recommendation, not GDPR certification. Do not publish private data in a review or public report.

Close with qualifications and distinguish recurring needs from urgent requests

Request a report distinguishing findings, actions, checks, limits and follow-up. “Access restored” does not mean all keys have been handed over; “leak stopped” does not mean wet areas are dry or safe. Maintain justified restrictions and reassess guest arrival with competent providers. If the stay is affected, keep a record in the booking and seek the applicable support; for Airbnb, online assistance is not a guarantee of compensation. Afterwards, review missing contacts or unclear authority internally without turning the review into an automatic allocation of responsibility.

The professional enquiries page (in French) allows discussion of recurring needs and possible terms; it establishes no TFK contract, on-call arrangement or SLA. For an ongoing incident, describe the need through the slammed-door page (in French) or the leak repair and drain unblocking pages (in French), without assumed availability or results. The central emergency guide, the remotely managed guest lockout and between-stay diagnosis explain the individual routes.

Frequently asked questions

Does this procedure mean TFK tracks all our incidents?

No. This is an editorial template for your own organisation. The professional enquiries page is for discussing needs; this article establishes no incident-management service, contract, guaranteed response time or TFK on-call arrangement.

Is a preauthorised budget enough to replace a lock?

No. A budget replaces neither verification of entry rights nor technical permission. Check that the mandate covers replacement and have the scope and price accepted before work.

What if neither the lead nor the backup answers?

Do not create implied permission. Suspend anything requiring their agreement, maintain safe protective measures and coordinate arrangements for the stay if necessary. Immediate danger to people is for emergency services, not commercial waiting.

Can all codes be centralised in the contractors' group?

Avoid general distribution. Separate the incident register from access secrets and share those only with people who need them through a verified private channel. Define restricted access and suitable retention periods without claiming this certifies compliance.

Who ultimately bears the bill?

The file should identify who orders and pays immediately. Final allocation depends on the applicable commitments and circumstances, not solely on who reported the issue. An insurer, platform, syndic or guest is not automatically liable for payment.
