Key points
- Tell your host even if another guest can still open the door: restored access and future security are separate issues.
- Do not independently order a copy, access-fob reprogramming or cylinder replacement. Confirm authority, scope and a quote first.
- Neither a lost key nor an invoice establishes liability or automatic payment by your host, Airbnb or an insurer.
Check people’s safety first, then establish the facts
If someone is locked inside and in danger, call 112 without waiting for your host. Otherwise, get your group somewhere safe and calmly check where the keys might have been left: bags, pockets, the last place you visited or another member of your group. A short, safe search should not delay notifying your host, particularly if theft is possible.
Describe what you know without turning an assumption into a fact: when the key was last seen, whether loss or theft is suspected, whether the door is locked and whether another set still allows access. If theft is suspected, contact the police about the appropriate reporting process. A theft in progress or an immediate threat warrants emergency assistance. Do not put yourself at risk by confronting someone to recover the keys.
List the missing access items without sharing security details publicly
Privately identify what is missing: apartment key, building key or access fob, remote control, mailbox key, and the number of each if known. Explain whether the keys were with an address, documents or another item linking them to the rental. An unlabelled key lost far away is not the same risk as a stolen bag containing the property’s address.
This information helps the host and professional assess the situation; it does not let a guest conclude that replacement is mandatory or unnecessary. A shared building fob may require the building manager, while a private apartment cylinder is a different responsibility. Do not publish detailed key photographs, fob numbers, codes or the location of a spare. Share only the information needed, privately, with verified people handling the incident.
Notify your host and ask for specific decisions
Start with the booking’s messaging system and designated emergency contact. A useful response should identify the access solution, the decision on security and the person authorised to approve it. If a property manager replies, establish what work and budget they can authorise rather than assuming a check-in agent has unlimited authority.
Message to adapt: “I need to report a possible loss / suspected theft of the keys since [time and place]. The set included [access items]. [The address was / was not / may have been identifiable]. We [can / cannot] still get inside; [any danger]. Can you arrange an authorised spare, decide whether security measures are needed, and confirm who will order and pay for any work? You can reach me privately on [number].”
Keep the messages and summarise telephone agreements in writing. Do not promise a full lock replacement or accept an open-ended payment before an assessment and quote.
Regain access with a spare or an authorised call-out
A spare provided by the host or their representative may avoid a door opening. Privately agree who receives it, how their identity will be checked and how the handover will be recorded. Do not ask a neighbour to lend access items without permission from the authorised person. Do not arrange a duplicate key or fob independently: some systems require specific approval or arrangements.
If an opening is needed, explain that you are a guest and ask the professional which booking and identity documents must be checked privately. A current reservation can help, but if your right of access is unconfirmed, the opening must be put on hold. An unresponsive host is neither permission to enter nor permission to drill. Contact Airbnb support from your reservation if your host remains unavailable and find a safe place to wait or stay. See the separate procedure for being locked out with an unresponsive host.
Decide on security separately from opening the door
Reopening a door does not disable a missing key. With your host and, where necessary, the building manager, have appropriate measures assessed: monitoring a reported risk, replacing a cylinder, work on a lock or disabling a fob where the system permits. These are possible outcomes of an assessment, not work that must always be imposed.
Before any change, obtain the authorised person’s agreement on the hardware, method and quote. Permission to open the door does not automatically include replacement. If the professional recommends additional work, get approval again. Afterwards, establish who keeps the new keys, how your group retains safe access and how the host receives their copies. An uncoordinated change could lock out the owner, property manager or cleaning team.
The technical guide to lost or stolen keys and cylinder replacement (in French) supports the assessment; it does not replace the host’s authorisation.
Costs, liability and insurance: assume nothing
Request a prior quote separating travel, opening, parts, fitting and any surcharges, with the total including tax. French public guidance lists locksmith services among work requiring a prior quote. Identify who instructs the work, who accepts it, whose name goes on the invoice and who pays immediately. Record any reimbursement commitment separately. Permission to carry out a technical operation is not necessarily agreement to pay for it.
Final responsibility depends on the facts, booking terms, agreements and applicable rules. A charge should be capable of explanation and substantiation. Do not assume either that every cost falls on the guest or that the platform will pay. If the host sends a request through Airbnb, review the evidence and respond through the designated channel. For personal or travel insurance, check the contract and contact the insurer: lost-key cover, theft cover, assistance and any financial limits are not interchangeable.
Airbnb asks guests to document and report stay problems within 72 hours of discovery; report promptly rather than waiting. AirCover for guests is not insurance and does not guarantee reimbursement for lost keys. Keep messages, the quote, invoice, proof of payment and, where relevant, the reference for a theft report.
Close the incident before checkout, even if the keys turn up
If you find the keys, tell your host immediately. Do not assume everything is usable again: a lock change may have made a key ineffective, a fob may have been disabled or a call-out may already have been ordered. Ask what to return and confirm any cancellation with the professional, including any agreed charges. Do not use recovered keys to bypass new instructions.
Before leaving, establish the number of keys and fobs returned, what should happen to old items and whether the property is securely closed. A precise private handover record is more useful than a public photograph of the keys. Frequently asked questions
Must I tell the host if my partner still has their key?
Yes. The spare may solve immediate entry but not the risk of someone using the missing set. Explain which items are missing and whether the address was identifiable so the host can decide what happens next.
Does the entire lock have to be replaced?
No, that is not an automatic conclusion. The professional and authorised decision-maker need to assess the missing items, risk and existing hardware. A cylinder, access fob and complete lock involve different work and require appropriate approval.
Can I get a duplicate before admitting that I lost the key?
No: a duplicate does not disable the missing key or replace the need to inform your host. Do not arrange copying without permission; confirm the procedure for the particular installation.
Do I always have to pay a lost-key fee requested by the host?
The booking terms, facts and supporting documents need to be examined; there is no automatic answer either way. Ask for the basis of the request and a breakdown of the work. If you disagree about an Airbnb request, use the designated resolution channel rather than paying an unexplained demand.
What if I find the keys after the lock has been changed?
Tell the host, do not test access against the new instructions and ask what must be returned. Replacement or deactivation may have made the old items unusable. Finding the keys does not automatically cancel costs already incurred.
