Key points
- A rejected code is not a lock diagnosis: first check the instructions and available spare keys.
- Entry rights, technical permission and financial agreement must be established separately; silence is not consent.
- Name a reachable decision-maker and a local contact; put the opening on hold if access rights remain uncertain.
Establish the access problem without asking the guest to improvise repairs
Ask for the address, building, floor, arrival time and observed problem: locked building entrance, inaccessible key safe, unresponsive keypad, key that will not turn or apartment door that has closed. Check the current booking and the instructions actually sent. Airbnb says guests can find check-in instructions under Trips and Check-in; this retrieves information, not permission for work.
Correct outdated instructions or arrange a legitimate spare before ordering a call-out. Do not provide another property's code as a workaround. Ask guests to stop if the key resists: no drilling, improvised opening or entry via a balcony. If someone inside is in immediate danger, have them call 112 without waiting for a tradesperson. Otherwise, suggest somewhere safe to wait and keep a contact available.
Identify who can authorise entry and work
Explain your capacity to the professional: owner, host or appointed manager. A manager must check that their mandate covers the proposed order and its limits; holding keys does not prove that authority. Ask what evidence is needed to verify the correct door, current occupancy and access rights. A booking, identity checked privately and confirmation from the responsible person may help, but will not necessarily suffice in every case.
If the address, dates or authority do not match, put the opening on hold. A reservation alone does not confer authority to change a lock. If the stay has already begun, arrange access with the guest's permission: Airbnb requires permission before a host enters during a stay, except in an emergency. That exception is neither blanket permission for work nor a way around a disagreement; immediate danger is a matter for emergency services.
Arrange a local contact and share only what is needed
Name one person to place the order, a backup if necessary and someone at the address. Check their actual availability before announcing a solution to the guest. The local contact can meet the professional, identify the door and report back; they must not accept a replacement outside their delegated authority. Summarise telephone conversations in writing.
Through a verified private exchange, provide the necessary address, symptoms, local contact number and a way to reach the decision-maker. Limit codes and key locations to people who need them, when needed. Do not circulate a complete guest file, key photograph or identity document in a large group. These precautions reflect the CNIL principles of purpose limitation, data minimisation and security; they are not a certification of GDPR compliance.
Set a limited scope in writing, then obtain acceptance of the quote
A workable request states: “[Address], [symptom], entry rights to be verified with [contact], assessment and an appropriate opening proposal; no drilling or replacement without fresh agreement from [authorised person].” Do not promise a non-destructive opening: the method depends on the assessment. If the work changes, have it stopped and obtain renewed technical and financial agreement before proceeding. An unavailable decision-maker does not authorise a broader scope.
Request a written breakdown identifying the business, customer, travel, assessment, labour, parts, surcharges, taxes, total and any charges if no opening is possible. Service Public guidance describes mandatory prior quotes for consumers using home repair services, including locksmith work. For a business order, agree written terms without automatically transferring every consumer-law rule to a professional contract.
Distinguish the order signatory, invoice recipient, immediate payer and any reimbursement agreement. Permission to enter is not an agreement to cover costs. Do not name Airbnb, the owner or an insurer as the payer without an applicable, confirmed commitment.
Plan for unresolved access rather than forcing a decision
If the professional cannot verify access rights, the decision-maker is unavailable or the proposed solution exceeds the mandate, record why and put the work on hold. Coordinate another option with the guest: an authorised representative, a spare or arrangements for the stay. No waiting period turns silence into permission to drill.
For an Airbnb booking, document the incident in the reservation and seek support if it remains unresolved. Its help page recommends documentation and contacting the host; it guarantees neither alternative accommodation, nor a refund, nor payment of a locksmith. Explain uncertainty to the guest rather than announcing an unconfirmed access time. The locked-out guest guide explains their own steps.
Close the incident and distinguish urgent requests from recurring discussions
Have the contact confirm what was done, any diagnostic limits and normal operation of the door without risking another lockout. If a cylinder was replaced with permission, arrange delivery of the new keys and update private instructions. Keep the accepted quote, authorisations, invoice and report in a restricted-access file for a retention period suited to their purpose.
For a door apparently shut on its latch, use the slammed-door opening page (in French) to describe an urgent request; the link confirms neither availability, response time nor method. For multiple properties or recurring discussions, use the professional enquiries page (in French) to discuss needs without assuming a contract or on-call arrangement. The central emergency guide and the multi-property procedure place this coordination in the wider context of a stay.

Frequently asked questions
Can I authorise everything over the phone?
A call can prepare the decision, but confirm access rights, scope, price and the decision-maker's identity in writing. The professional still needs to verify the conditions for the work. A message cannot substitute for missing authority.
Can the guest sign the quote on my behalf?
Not merely because they have a booking. Specify who is ordering and under what delegation. If the guest orders in their own name, this does not automatically oblige you or Airbnb to reimburse them.
Does permission to open the door include replacing the lock?
No. Define the limits of the work; a destructive method or replacement requires permission from the authorised person and acceptance of the corresponding price before proceeding.
Can I share the entire guest file with the local contact?
Share only what the task requires through a verified private channel. The contact does not need the full booking history; supporting documents and access secrets require limited, secure sharing.
